Audit tasks before tools
For one week, note recurring work that involves summarising, classifying, drafting, extracting or comparing information. Estimate frequency, time and cost of errors. Rank opportunities by value and risk.
Use AI where review is easy
Drafting product descriptions, structuring meeting notes, analysing themes in feedback and creating first-pass support replies are useful starting points. A person can quickly check the output before it reaches a customer or changes a record.
Keep sensitive data controlled
Understand what information a provider stores and how it is used. Avoid pasting personal, confidential or commercially sensitive data into unapproved tools. Set simple team rules, access controls and a review process.
Build reusable context
Good results come from clear inputs: brand voice, examples, policies, product facts and an explicit output format. Save tested instructions and examples so the workflow improves instead of restarting with every chat.
Measure the whole workflow
Track time saved, revision rate, error rate and outcome—not the number of generated words. If review takes longer than doing the task, improve the process or stop. Automation is valuable only when the complete system is better.
